Overview
EYSH Financial's teams were manually handling repetitive cross-platform tasks: creating contacts and companies, generating documents, syncing product and inventory data between e-commerce and accounting systems, and updating deal statuses. This meant wasted time and higher subscription costs for third-party connector tools.
The Solution
A long-term automation engagement integrated HubSpot CRM, PandaDoc, Ecwid, QuickBooks Online, Outlook, and WhatsApp using Make (Integromat)-style scenario automation:
- CRM & contact automation — automated "contact to company" creation triggered directly from web form submissions, with a private HubSpot app listening in real time (eliminating paid webhook modules) and automated deal-stage updates such as "KYC Signed."
- Document workflow — PandaDoc integrated with HubSpot for document generation tied to deals, with product line-items pulled dynamically from deal data.
- E-commerce to accounting sync — new-product sync from Ecwid to QuickBooks with correct inventory defaults, plus a purchase-order-triggered inventory update flow between the two platforms.
- Operational efficiency — automated Outlook email forwarding and a real-time Google Sheets sync for product-cost updates, removing manual spreadsheet maintenance.
Results
Manual data entry across CRM, document, and accounting workflows was eliminated. Recurring third-party webhook subscription costs were removed entirely via a custom private-app integration, and a nearly fully automated deal pipeline now runs from lead form submission through contract signing and inventory/accounting sync.
