Connected a global membership database to a newly built online Academy, automating course access through a mid-project platform migration with zero disruption to existing members.
Overview
IABSE approached us to connect their existing membership database in WildApricot with a newly developed Academy platform, initially built in Kajabi and later migrated to WordPress with TutorLMS. The goal was for every active member to automatically have Academy access, while streamlining administrative workflow and reducing manual intervention.
The Challenge
- Active members in WildApricot needed automatic access to Academy courses.
- The Academy platform changed mid-project (Kajabi to WordPress/TutorLMS), requiring every previously configured integration to be rebuilt.
- The client needed minimal manual effort to maintain access control for both new and existing members.
- Coordination had to run cleanly across international time zones and a client-side team transition.
The Solution
Automated workflows were designed using Make.com (Integromat) to sync membership status from WildApricot into the Academy platform in real time, so Academy access activated and deactivated automatically as membership status changed, with no manual toggling.

The full platform migration from Kajabi to WordPress/TutorLMS was managed in parallel, updating every integration point and website link without breaking existing access. Webhook-based validation confirmed membership syncing in real time, backed by multiple rounds of testing and live Zoom walkthroughs for sign-off.

Results
Fully automated membership access for all active members, with real-time synchronization between WildApricot and the Academy platform. The team absorbed a full platform migration mid-engagement without a single active member losing access, strengthening the client's trust enough to be considered for future automation work.
